How to Use Bulk AI Actions in AutoRFP

Step-by-Step Instructions

Step 1: Select Multiple Responses

  1. Navigate to the Project Editor.

  2. Check the boxes on the left margin next to all responses you want to modify.

  3. Select as many responses as needed - there is no limit on batch size.

Tip: Use filters or sorting to group similar responses before selecting for more targeted bulk actions.


Step 2: Access Bulk AI Actions

  1. After selecting responses, an action bar appears at the top of your table.

  2. Click the AI Actions button in the action bar.

  3. The AI Actions menu opens with available options.


Step 3: Choose Your Action Type

Select from two options:

Templated Actions:

  • Shorten: Makes responses more concise by removing unnecessary details

  • Spelling & Grammar: Fixes spelling, grammar, and punctuation errors

  • Simplify: Simplifies language and breaks down complex terms

  • Rewrite: Uses current answers to generate new versions with fresh wording

  • Improve: Makes responses more polished and professional

  • Generic Answer: AI generates draft answers not based on your content (use with care as this will require editing)

Custom Instructions:

  1. Enter specific instructions in the custom prompt input field.

  2. Be explicit about desired changes (e.g., "Focus on security features and use formal tone").

  3. AI processes all selected responses according to your instructions.


Step 4: Apply the Action

  1. Click your chosen preset action or enter custom instructions.

  2. Click Apply or Submit to process.

  3. AI processes all selected responses simultaneously.

  4. Wait for processing to complete.


Step 5: Review Changes

After processing, review the results:

  1. Each response displays a comparison view showing:

    • Original text with deletions highlighted

    • Updated text with additions marked

    • Side-by-side comparison for easy review

  2. Toggle between original and modified versions for each response.

  3. Evaluate whether changes align with requirements and maintain accuracy.


Step 6: Accept or Reject Changes

Choose your preferred management approach:

Review and Accept/Reject Individually:

  1. Review each response one by one.

  2. Click Accept to apply changes for that specific response.

  3. OR click Reject to keep the original text.

  4. Continue through all processed responses.

Bulk Accept/Reject All:

  1. Click Accept All to apply changes to all processed responses at once.

  2. OR click Reject All to keep all original text.

  3. Confirm your decision when prompted.

Note: Accepting changes can be undone. Simply navigate to the History Tab to restore previous versions.
