Article Summary

Create confidential projects to enhance security for sensitive information. Confidential projects are visible only to explicitly authorized users and cannot be accessed by other team members, including users with admin permissions. Configure confidentiality settings during project creation or modify them later as needed.

Estimated Time

< 2 minutes

Prerequisites

  • Admin permissions (only admins can create confidential projects)

  • Confidential Projects feature enabled in your Organizational Settings under Feature Flags

🙋🏽 What Are Confidential Projects?

A confidential project is a secure workspace that:

  • Is visible only to users explicitly added to the project

  • Cannot be accessed by other team members, including admins

  • Features modified functionality to maintain security standards

Due to their enhanced security requirements, confidential projects have specific functional changes. For complete details about these modifications, please refer to our comprehensive Confidential Projects documentation.

Step-by-Step Instructions

Step 1: Initiate Project Creation

  1. Navigate to your Dashboard.

  2. Click Create Project.

  3. Follow the standard project creation prompts (upload files or select web portal option).

  4. Enter project details.

  5. Continue until you reach the Select Content step.

Step 2: Enable Confidentiality

  1. On the Select Content step, locate the Make Project Confidential checkbox.

  2. Check the box to enable confidential status.

  3. Note that Save Responses to be used in future projects automatically disables -this prevents confidential information from exposing to unauthorized users through response libraries.

‼️ Important: The "Save Responses to be used in future projects" option will automatically be disabled. This prevents confidential information from being exposed to unauthorized users through response libraries. You can still manually add responses to libraries when appropriate.

Step 3: Complete Project Setup

  1. Select your content sources.

  2. Configure response mode settings (Profile, Mode, Multi-lingual, Response Length).

  3. Review any additional settings.

  4. Click Create Project to finalize.

Step 4: Verify Confidential Status

Once created, you can confirm your project's confidential status by looking for the red "Confidential" tag displayed next to the project name. This visual indicator confirms you're working within a secure, confidential environment.

Managing Confidentiality Settings

To Change Confidentiality Status after creation:

  1. Navigate to the project you want to modify.

  2. Click Edit Project from the project menu.

  3. Select the Content & Tags tab and scroll to the bottom of the page.

  4. Check or uncheck Make Project Confidential as needed. Select Update to save your changes.

‼️ Important: Changing a project from confidential to standard makes it visible to all users with appropriate permissions. Ensure all team members understand this change before proceeding.

💡Tips & Best Practices

  • Identify all required collaborators before creating the project to avoid access issues

  • Add collaborators during initial project creation to ensure immediate access

  • Use confidential projects for sensitive bids, competitive proposals, or proprietary information

✋🏼 Common Mistakes to Avoid

  • Creating confidential projects without adding necessary collaborators—prevents team access

  • Assuming administrators can access all projects—confidential projects restrict admin access unless explicitly added
