How to Add Footnotes to Responses

Step-by-Step Instructions

Step 1: Insert a Footnote

  1. Navigate to the response or content item you want to edit in a live project. Select the pencil tool (Response Editor) to expand your view.

  2. Position your cursor where you want the footnote to appear.

  3. Click the Footnote button in the editor toolbar.

  4. Placeholder text appears in the editor with a popup menu.

Step 2: Add Footnote Content

  1. In the popup text input, enter your footnote information (citation, source, clarification, etc.).

  2. Click Apply to save the footnote.

  3. The placeholder text remains visible in the editor.

Step 3: Review and Edit Footnotes

To View Footnotes:

  • Hover over any footnote placeholder text to see the full footnote content.

To Edit Footnotes:

  1. Click on the footnote placeholder text.

  2. The popup menu reappears with the existing content.

  3. Modify the footnote text as needed.

  4. Click Apply to save changes.

โ€ผ๏ธ Important: You cannot edit footnotes in approved responses. Un-approve the response first to make changes.

Step 4: Export with Footnotes

  1. Complete your response edits and approvals.

  2. Export your project as normal.

  3. Footnotes automatically format based on export type:

    • Word Documents: Footnotes appear at the bottom of each page with automatic document-wide numbering

    • Excel Documents: Footnotes appear below the answer within the same cell with response-by-response numbering

  • Cite external sources, research, or third-party data

  • Reference specific policy documents, certifications, or compliance frameworks

  • Provide supplementary information without cluttering the main response

  • Add footnotes during the editing phase before submitting for review

  • Review all footnotes for accuracy during the approval process

  • Use footnotes in content library items for consistent source attribution
