Step-by-Step Instructions

Step 1: Add Placeholders to Your Content Library

  1. Navigate to Content Management.

  2. Create new content or edit existing content.

  3. Insert placeholders directly into your content text:

    • [Customer] - Will be replaced with customer's name

If you’ve imported content that includes actual customer names instead of placeholders, you can easily update them after the import using the Find & Replace feature. This tool allows you to quickly and efficiently make bulk updates across your content library—saving time and ensuring consistency throughout your materials.

Step 2: Save Content to Library

  1. Complete your content entry with placeholders included.

  2. Save the content to your content library.

  3. Placeholders remain in the stored content exactly as typed.


Step 3: Use Content in Projects

  1. Create a new project with customer name and project name specified.

  2. AutoRFP generates responses using your content library.

  3. When content with placeholders is used, AutoRFP automatically:

    • Replaces [Customer] with the customer name from project details

  4. Responses display with actual values during project work.


Step 4: Approve Responses

  1. Review the response with populated placeholder values.

  2. Edit as needed.

  3. Submit and approve the response as usual.

Important: When approved, the response saves back to your content library with original placeholders intact, NOT with the actual customer name.


Step 5: Reuse Across Projects

  1. The same content with placeholders can be used in future projects.

  2. Each new project automatically populates placeholders with new customer information.

  3. No manual editing required to personalize for each customer.

  • Verify customer name is correct in project details

  • Review generated responses to confirm placeholders populated correctly

  • Avoid placeholders in technical specifications that don't need personalization


✋🏼 Common Mistakes to Avoid

  • Typing placeholders incorrectly (missing brackets, wrong capitalization, extra spaces) - won't be replaced

  • Using placeholders in content that requires customer-specific details - some content shouldn't be templated
