How to Use Find and Replace

  • Content Manager or Admin permissions

  • Content uploaded to your library

  • Understanding of what text you want to replace


Step-by-Step Instructions

Step 1: Access Find and Replace

1. Navigate to Content Management from the left sidebar of your dashboard.

2. (Optional) Apply filters to narrow which content to search:

  • Filter by content type (Projects, Library, Documentation)

  • Filter by location/folder

  • Filter by tags or categories

  • Skip filtering to search your entire library

3. Click Find and Replace button in the left sidebar.

Step 2: Enter Search and Replace Text

1. In the Find field, enter the text you want to change.

2. In the Replace field, enter the new text.

3. AutoRFP automatically searches and displays a preview:

  • Red highlighting shows current text that will be changed

  • Green text shows what the replacement will be

  • Total results count appears in the bottom-right corner

Step 3: Configure Match Options

1. Choose precision options based on your needs:

Match Case

  • Respects capitalization in your search

  • "apple" and "Apple" are treated as different

  • Use when: Capitalization matters for your replacement

  • Example: Change "apple" to "orange" but keep "Apple Inc." unchanged

Match Word

  • Matches whole words only, not partial matches

  • Prevents changing text within other words

  • Use when: Replacing common words that appear in larger words

  • Example: Change "will" to "shall" without affecting "willow" or "willing"

2. Toggle Match Case and/or Match Word on or off as needed.

3. Preview updates automatically based on your selections.

Step 3: Review Matches

1. Scroll through the preview list to review all matches.

2. Each match shows:

  • The content snippet containing the text

  • Current text in red

  • Replacement text in green

  • Document/location name

3. Verify the replacements are correct before proceeding.

4. Execute replacements either all at once (by selecting the Replace Button in the left menu bar) or individually (by selecting Replace inside each content snippet).

✏️ Prefer to Make Manual Edits?

If you prefer to adjust text manually instead of bulk replacing across your entire library:

  • Click directly on the text in the preview

  • The content opens for editing

  • Make your manual changes

  • Click Save when finished

Manual edits allow for more nuanced changes beyond a simple find/replace.
