Step-by-Step Instructions
Access the Review Queue
1. Navigate to the Content Management page.
2. Click the Review tab at the top of the page.
3. All content pending review appears here. You can sort the review queue by selecting your desired criteria using the Sort button.
4. To filter reviews relevant to you, use the Owners or Teams filters bar on the left side. Reviews assigned to you or your team will display first.
Review Options
When viewing content under review, you have six options:
Option 1: Approve Content
Review the content to verify accuracy. If information is correct and current, click the Approve button in the top-right corner. Content immediately returns to circulation and can be used in responses.
Option 2: Archive Content
If content is no longer relevant or outdated, click the Archive button (to the left of Approve).
Content is removed from circulation and moved to the Archived section.
Archived content won't appear in future responses but isn't permanently deleted.
Option 3: Edit and Approve
If you know what changes are needed, click directly on the content text. Make your edits to correct or update the information. Then click Update and Approve.
Updated content immediately returns to circulation with your changes.
Option 4: Suggest Changes
If you're uncertain about changes but want to propose edits, click on the content text, then select Suggested Change. Content remains in review with your suggestions until the content owner approves your suggestions.
Option 5: Assign to Another Editor
If you don't know the answer to a requirement but know who does, click the user icon or the Editors button. Select the appropriate Content Manager or subject matter expert from the list to assign them as an editor.
They will receive a notification that they've been assigned to review this content.
Content remains in the review until it is approved.
Option 6: Tag in Comments
Click the comment button in the bottom-right corner of the content card. Type @ followed by the Content Manager's name to tag them and add your question or context in the comment. Click Send.
Tagged users receive a notification to review your comment.
Quick Tip: Hover over the calendar icon to see when the content was last updated or imported.
Understanding Review Types
Content reviews are colour coded by type:
Green Cards: Project Content Requests
Green cards indicate requirement/response pairs from projects that users requested be added to the library.
Review the bottom-left corner to see:
Which project the content came from
Where it will be stored if approved
Orange Cards: Flagged Content
Orange cards represent content flagged by users for review. Look for the flag icon in the top-right corner.
If the user provided a reason, it displays to the right of the flag icon.
Blue Cards: Suggested Changes
Blue cards show content with suggested edits from users.The top section displays the suggested changes. The bottom section shows the current version of the content.
Red Cards: Expired Content
Red cards show content that has expired. To update the expiry date of a content snippet, select the calendar icon (Set Schedule) on the bottom right corner of the content snippet and update the expiry date in the modal.

Use Owners filter to see only your assigned reviews
Use Teams filter to prioritize your department's content
Address flagged content (orange) first - indicates urgent issues
Making Review Decisions:
Approve when content is accurate and current
Edit and Approve when you know the correct information
Suggest Change when you're uncertain but want to contribute
Assign when content requires specific expertise
Archive when content is outdated or superseded
Collaboration:
Tag subject matter experts in comments for clarification
Add context in comments explaining why you're tagging someone
