Prerequisites

  • Active AutoRFP subscription

Step-by-Step Instructions

Step 1: View Project Usage

  1. Log in to your AutoRFP Dashboard.

  2. Review the Projects Used counter displayed on the main dashboard.

  3. Compare usage against your plan's annual project limit:

    • Scale Plan: 24 projects per year

    • Accelerate Plan: 50 projects per year

    • Enterprise Plan: Custom project limit

Step 2: Monitor Usage Throughout the Year

  1. Check dashboard regularly to track projects remaining.

  2. Plan project creation strategically throughout the year.

  3. Contact support if approaching your annual limit.

πŸ™‹πŸ½ What Counts as a Project?

A project is created when you:

  • Upload RFP or questionnaire documents

  • Create a new project from web portal

  • Import requirements for AI response generation

Each project counts as one toward your annual allocation, regardless of:

  • Project size or number of requirements

  • Completion status

  • Whether responses are approved or exported

Please note: Projects that were used during your POC trial period are not counted towards your annual project allocation.

πŸ“† When does my project count reset?

Your project allocation operates on an annual reset cycle.

  • Reset Timing: Projects reset each year on your subscription renewal date.

  • Allocation Renewal: A new annual project allocation becomes available at the start of every billing year.

  • Example: If your subscription renews on January 1st, your project count will reset on that date - providing a fresh allocation for the new year.

πŸ’‘ Tips & Best Practices

  • Check Projects Used counter on dashboard weekly

  • Plan ahead for high-volume RFP seasons (fiscal year-end, budget cycles)

  • Use project analysis feature to screen opportunities before committing projects

βœ‹πŸΌ Common Mistakes to Avoid

  • Not monitoring project usage throughout the year - surprise when limit reached

  • Creating multiple projects for related questionnaires instead of combining - wastes allocation

  • Assuming AI answer usage is limited - all plans include unlimited answers
