Importing Excel files is a fundamental practice when building out your database in the AutoRFP.ai dashboard. When importing excel files, or any content for that matter it is important to remember that the primary intention is to provide the AI machine with context and history on your past bids in order to generate the best responses.
Successfully importing an excel file will accomplish the following:
โ
Highlight the most important and relevant aspects of past documents
Create question and answer pairs the system can draw from
Help generate highly trust score responses

Selecting and Tagging Appropriate Content
Remember, the goal of this exercise is to extract the Requirements and Responses within past projects to feed the system for context on future projects.
For example (pictured below), there is no need to spend time highlighting tabs that are cosmetic, include instructions, table of contents, or other informational items from the requestor.
Tagging Relevant Requirements and Responses
The auto-detect feature will highlight requirements and responses automatically allowing you to simply audit the selections if choose. Should you wish to manually tag items. click on the cell and select a designation. The system will then scan the spreadsheet for any similar cells and apply that designation across the document for you.
Note that certain aspects of the file are not relevant during the import process. The system does not need to be concerned with inputs from the RFP/RFQ requestor, ID's, or other informational pieces. Again we are highlight, requirements and responses for the system to draw upon on future bids.
Additionally, you can highlight multiple columns as requirements or responses. Be sure when utilizing the auto select feature to audit your form before moving on.
Audit your Tabs
If you have selected your cells and designated them you should see that similar cells across all tabs will be highlighted accordingly. Beware that if there are changes in formatting or structure within different tabs, they may not be captured by the auto-select on the first pass. Simply click that tab and select a designation before moving forward.
