Article Summary

Import content libraries from other systems by filling out a CSV template instead of manually entering data. The template includes columns for project name, file name, date, requirements, responses, and tags - making bulk content migration fast and efficient.

Estimated Time

30-60 minutes (varies by content volume)

Prerequisites

  • Content Manager or Admin permissions

  • Content organized with questions and answers

  • Understanding of your tag structure (if using tags)

  • CSV template downloaded (link at bottom of article)

Critical: Do NOT edit or change the column headers or format of the import file. Only provide inputs in the cells below the headers.

Step-by-Step Instructions

Step 1: Download CSV Template

  1. Download the AutoRFP Upload Template.csv (link at bottom of article).

  2. Open the file in Excel or Google Sheets.

  3. Review the column headers.

Step 2: Fill in CSV Columns

Complete the following columns for each content item:

Project Name:

  • High-level folder name where content will be imported

  • Groups related content together

File Name:

  • Name of the original file or document

  • Helps identify content source

Requirement:

  • The question or requirement text

  • One requirement per row

Response:

  • The answer or response text

  • Corresponds to the requirement in same row

Date:

  • Date the content was last updated

  • Format: YYYY-MM-DD or MM/DD/YYYY

  • Note: Hover over content card date to see this updated date vs. import date

Tag Columns:

  • Use format: Tag_CategoryName (e.g., Tag_Product, Tag_Market)

  • For generic tags: Tag_Tag

  • Multiple tags in same cell: Separate with commas (e.g., "Product A, Feature X")

Example:

Project Name: Security Library File Name: SOC2_Responses.docx Date: 2024-01-15 Requirement: Do you have SOC 2 certification? Response: Yes, we maintain SOC 2 Type II certification, audited annually. Tag_Compliance: SOC 2, Security Tag_Product: Platform

Step 3: Save the File

  1. Complete all rows with your content.

  2. Save or export as CSV format.

  3. Important: Filename must be: AutoRFP.ai Upload Template.csv

Step 4: Upload CSV File

  1. Navigate to your Dashboard.

  2. Click Add Content.

  3. Select Library as the content type.

  4. Click Continue.

  5. Upload your CSV file as you would any other document.

Note: You won't need to make selections or tag content manually - the CSV handles this automatically.

Step 5: Verify Import

  1. Navigate to Content Management.

  2. Locate imported content under the Project Name folders.

  3. Verify requirements, responses, and tags imported correctly.

πŸ’‘ Tips & Best Practices

  • Never edit column headers - AutoRFP won't recognize modified headers

  • Use consistent date formatting throughout

  • Keep one requirement-response pair per row

  • Use commas to separate multiple tags in same cell

  • Save as CSV format, not Excel (.xlsx)

βœ‹πŸΌ Common Mistakes to Avoid

  • Changing filename from required format - system won't recognize file

  • Mixing date formats within same CSV - creates inconsistent data

  • Leaving requirement or response cells blank - creates incomplete content
