Article Summary

Integrate your SharePoint site with AutoRFP to import and update documentation in your content library. Content syncs every 24 hours, ensuring your team always uses the most up-to-date documentation for bids and questionnaires without manual updates.

Estimated Time

5 minutes

Prerequisites

  • Administrator or Content Manager permissions in AutoRFP

  • Access to SharePoint site with appropriate permissions

  • Microsoft admin approval (may be required for some organizations)

  • SharePoint tenant name and site name

‼️ IMPORTANT: Your Microsoft admin may need to approve AutoRFP apps to enable SharePoint import. Contact support if you need assistance with admin approval.

Step-by-Step Instructions

Step 1: Create a SharePoint Connection

When importing from SharePoint, you provide AutoRFP access on a site level. Each site is called a connection.

  1. Navigate to Organization > Integrations in AutoRFP.

  2. Locate the SharePoint integration section.

  3. Enter your Tenant Name.

  4. Enter your Site Name.

  5. Click Connect or Confirm.

🙋🏽 How do I find my Sharepoint Tenant Name?

  1. Log in to your Microsoft 365 account.

  2. Click the SharePoint app icon in the app launcher.

  3. Look at your browser's address bar. The URL will be in the format https://**tenantname**.sharepoint.com/....

  4. The tenantname is your SharePoint tenant name.

For step-by-step instructions, please refer to Microsoft's Learn Article.

Step 2: Accept Permissions

You will be redirected to grant necessary permissions. AutoRFP requires two sets of permissions:

  1. Authentication Permission: To authenticate your account.

  2. SharePoint File Picker Permission: To access and select files from your SharePoint site.

  3. Review the requested permissions.

  4. Click Accept or Approve for both permission sets.

Step 3: Open File Selector and Select Content

  1. After accepting permissions, the SharePoint file picker opens.

  2. Navigate through your SharePoint site structure.

  3. Select the documents or folders you want to import.

  4. Click Select or Import to confirm your selection.

Step 4: Navigate Back to AutoRFP

  1. You will be automatically redirected back to AutoRFP.

  2. Wait for import confirmation.

  3. You will see a green confirmation message when the import is successful.

  4. Click Continue to proceed.

Step 5: Configure Content Settings

  1. Review imported documents in your content library.

  2. Assign tags to organize imported content (optional).

  3. Documents are now available for use in projects.

📝 Important Note

When importing content via an integration, the AI Import process must be used.

Documents brought in through AI Import will not include editable snippets inside AutoRFP. If any changes are made to these documents directly in SharePoint, they will automatically update every 24 hours. You can also manually trigger a sync for individual documents in Content Management to apply updates immediately.

💡Tips & Best Practices

  • Verify you have correct tenant name and site name before starting

  • Check with Microsoft admin if approval is required for your organization

  • Document which SharePoint sites contain relevant content for import

  • Plan folder structure for easy selection during import

✋🏼 Common Mistakes to Avoid

  • Selecting too much content during initial import. Import small sections at a time to speed up the process.

  • Forgetting that imported content cannot have editable snippets. Use manual import for editable content needs

  • Attempting to edit SharePoint-synced content in AutoRFP.ai—updates must be made in SharePoint

  • Not using tags to organize imported content—difficult to find and filter later

  • Assuming immediate sync after SharePoint changes—updates occur every 24 hours
