Step-by-Step Instructions

Step 1: Create Zendesk Connection

When importing from Zendesk, you link AutoRFP to your Zendesk account. Each account you link is called a connection.

  1. Navigate to your AutoRFP dashboard and select Add Content.

  2. Select Import Documentation.

  3. Click Activate an Integration and select Zendesk. The integration will automatically appear if you've activated the integration in your Organizational Settings.

  4. Click Connect Account.


Step 2: Enter Zendesk Domain

  1. Enter your Zendesk domain name in the provided field.

  2. Click Continue or Connect.


Step 3: Login to Give Access

  1. You will be redirected to Zendesk to authenticate.

  2. Log in with your Zendesk credentials (or service account credentials if using one).

  3. Grant AutoRFP the necessary permissions.

  4. Click Allow or Approve to authorize the connection.


Step 4: Select Content to Import

  1. Navigate back to AutoRFP after granting permissions.

  2. Browse through your Zendesk content in the file selector.

  3. Select the articles or help documentation you would like to import.

  4. Click Continue.


Step 5: Confirm Import

  1. Wait for AutoRFP to confirm the import with Zendesk.

  2. You will see a green confirmation message when the import is successful.

  3. Click Continue to proceed.


Step 6: Configure Content Settings

  1. Review imported documents in your content library.

  2. Assign tags to organize imported content (optional).

  3. Documents are now available for use in projects.

IMPORTANT: Review your content library to confirm imported content has finished syncing before importing additional folders. Importing too many folders simultaneously may cause the import to fail.


How to Create a Zendesk Service Account (Optional)

For organizations with stringent security requirements, create a dedicated service account that only has access to help documentation in Zendesk.

The AutoRFP Zendesk integration requires read access to your Zendesk. A service account allows you to grant limited permissions specifically for AutoRFP, restricting access to only help documentation.

Step 1: Create Team Member

  1. Navigate to the Create a team member page in Zendesk.

  2. Enter a name for the service account (e.g., "AutoRFP Integration").

  3. Enter an email address for the service account.


Step 2: Assign Role

  1. Assign a Contributor (Support) role.

  2. This role means the service account will only have access to tickets in its group.

  3. Unless added to a group, it won't have access to any tickets.


Step 3: Verify Permissions

  1. By default, users will only have access to Guides (help documentation).

  2. Confirm permissions by clicking on the user.

  3. Navigate to Roles and access to review what the service account can access.


Step 4: Use Service Account Credentials

When connecting AutoRFP to Zendesk, use the service account credentials instead of your personal credentials.
