Prerequisites

  • Active AutoRFP.ai user account with content editing permissions

  • Existing content items in your library

  • Understanding of which content requires special attention or handling


Step-by-Step Instructions

Step 1: Navigate to Your Content Library

  • Log in to your AutoRFP.ai Dashboard.

  • Click on Content in the navigation menu.

  • Your organization's content items appear.


Step 2: Select Content Item & Create Alert

  • Browse or search for the content item you want to add an alert to.

  • Click on the alert button on the bottom right corner of the content entry.

  • A text field appears for your alert message.

💡 Pro Tip: Write a clear, actionable message that tells users what to do. Keep messages concise but specific.

Examples:

  • "This pricing requires VP approval before sharing externally"

  • "Verify current timeline with Product team before using"

  • "Customize implementation details based on client's specific requirements"

  • "Please check with HR before responding to get the most up to date employee count"


Step 3: Save Alert

  • Click Save to attach the alert to the content.

  • The alert is now active on this content item.

  • Users will see this alert when the content is used in responses.

Writing Effective Alerts:

  • Be specific and actionable rather than vague ("Verify pricing with Sales" vs. "This might be outdated")

  • Tell users exactly what to do—who to check with, what to verify, or what to customize

  • Keep messages concise—alerts should be readable at a glance during response generation

  • Use clear language—avoid jargon or ambiguous instructions

  • Front-load the action—start with the verb ("Verify...", "Check...", "Confirm...", "Customize...")

  • Not removing obsolete alerts—leaving alerts active after content is updated or situation resolved

  • Using alerts for content organization—alerts are for warnings/reminders, not categorization (use tags instead)

  • Writing alerts without context—"Check with Sarah" without indicating Sarah's role or what to check
