Article Summary
Use the AI Analyst to scan new project documents and ask screening questions before proceeding with an RFP, RFI, or Security Questionnaire. Identify deal-breaker requirements or scope issues early to avoid abandoning bids mid-process.

Step-by-Step Instructions
Step 1: Enable Project Analysis (One-Time Setup)
Navigate to Organizational Settings from the navigation toolbar.
Click on Feature Flags.
Enable Project Analysis.
Click on the Project Analysis tab.
Step 2: Create Analysis Questions (One-Time Setup)
In the Project Analysis tab, create up to 10 custom categories.
Add up to 30 templated questions total across all categories.
Write clear, specific questions that help identify deal-breakers.
Add context to each question so the AI Analyst can effectively search project documents.
Example Questions:
"Does this project require on-premise deployment?" (Context: We only offer cloud-based solutions)
"What is the required go-live date?" (Context: Flag projects requiring implementation in less than 90 days)
"Does this project require HIPAA compliance?" (Context: We are not HIPAA certified)
Note: You can edit these questions at any time through your Organizational Settings.
Step 3: Run Project Analysis on New Projects
Create a new project and upload project documents.
After entering project details, the Project Analysis screen appears automatically.
AutoRFP runs your templated questions against the project documents.
Review the confidence grade for each search result.
Step 4: Ask Custom Questions (Optional)
Use the question bar at the bottom of the Project Analysis window.
Ask any ad-hoc questions specific to this project.
Review the AI Analyst's response and confidence level.
Step 5: Make Go/No-Go Decision
Based on the analysis responses:
Proceed: Continue to work on the project if requirements align with your capabilities
Cancel: Abandon the bid if deal-breaker requirements are identified
π‘ Tips & Best Practices
Question Design:
Focus on deal-breaker requirements (e.g., unsupported technologies, impossible timelines, missing certifications)
Use specific language rather than vague terms (e.g., "HIPAA compliance" vs. "regulatory requirements")
Effective Screening:
Run analysis immediately after uploading project documents
Ask follow-up custom questions if initial results are unclear
Ongoing Management:
Regularly review and update templated questions based on lessons learned
Add new questions as your screening criteria evolve
βπΌ Common Mistakes to Avoid
Writing vague questions without sufficient context for the AI Analyst
Forgetting to enable the feature under Feature Flags before attempting setup
Skipping project analysis and proceeding directly to work, potentially missing early warning signs
