Step-by-Step Instructions

Method 1: Using Existing Dropdowns

AutoRFP automatically detects dropdowns in uploaded Excel documents.

Step 1: Access the Dropdown Menu

  1. Upload your Excel document in the project importer.

  2. Click on a spreadsheet cell containing an existing dropdown.

  3. The dropdown configuration menu appears with pre-populated options from the source document.

Step 2: Configure Dropdown Options

  1. Review the pre-populated options from your source document.

  2. Add, edit, or remove options as needed.

  3. (Optional) Add criteria for selection to guide the AI's decision-making.

  4. (Optional) Toggle "Skip response generation" if you want to manually select the option.

  5. Click Confirm Dropdown.

Step 3: Designate Additional Dropdown Cells

  1. After confirming the first dropdown, a light green box appears in the cell indicating dropdown status.

  2. Click other cells with matching dropdown options.

  3. Click the dropdown label to quickly designate them as dropdown cells without reconfiguring.

Method 2: Creating New Dropdowns

Create custom dropdowns when you want AutoRFP to populate table cells with a limited set of templated responses.

Step 1: Create the Dropdown

  1. Click an empty table cell where you want a dropdown response.

  2. Select Create Dropdown from the options menu.

Step 2: Choose a Template or Create Custom

  1. Select from preconfigured templates:

    • Standard compliance options (e.g., Yes/No/Partial)

    • Custom response sets

  2. OR create your own template with custom options.

Step 3: Configure and Confirm

  1. Add your response options.

  2. (Optional) Define criteria for each option to guide AI selection.

  3. Click Confirm.

  4. The cell and matching cells are designated as dropdown cells with a light green indicator.

Dropdown Configuration:

  • Add selection criteria to improve AI accuracy (e.g., "Select 'Yes' if we have SOC 2 Type II certification")

Criteria Definition:

  • Write clear, specific criteria explaining when each option should be selected

  • Reference specific capabilities, certifications, or policies in your criteria

  • The more context you provide, the more accurate the AI's selections will be

Efficiency Tips:

  • Use "Skip response generation" for dropdowns you prefer to complete manually

  • Leverage auto-detection for Excel documents with existing dropdowns
