How to Use the Workload Report

Monitor team and individual workload, track turnaround times, and export reports for project management.

Step-by-Step Instructions

Step 1: Access the Workload Report

  1. Navigate to Insights from the main menu.

  2. Click Workload.

  3. The Workload Report dashboard opens.


Step 2: Filter by Date Range, Users, or Teams

  1. Use the dropdown menus in the top right corner.

  2. Select your desired time range.

  3. Filter by specific Users or Teams, if applicable to your use case.

  4. The report updates to show data for your selection.


Step 3: Review Summary Metrics

Review the table showing these key metrics:

Name

What it is

Projects Worked On

Total unique projects within that time period that a person/team has worked on.

Total Responses

Responses worked in the period (any responses where the user has been the editor or approver, including unsubmitted or unapproved responses).

Editor Submissions

Responses an editor has submitted.

Reviewer Approvals

Responses a reviewer has approved.

Projects Completed

Distinct completed projects that the user has worked on, that have a completed status.

Avg Turnaround

Average days from response created to response approved.

Project Owner / Customer Owner

Distinct projects where the user holds that ownership role. This is configured in the project settings.


Step 4: Export Your Report

  1. Click the Download button in the top right corner.

  2. Select your desired export format.

  3. Download the report.


💡 Tips & Best Practices

Data Accuracy:

  • Always submit and approve responses to ensure they're included in calculations for "Editor Submissions" and "Reviewer Approvals".

  • Mark projects as completed when finished to capture accurate data for the "Projects Completed" column.

  • Review the report regularly to catch workload imbalances early.


✋🏼 Common Mistakes to Avoid

  • Not submitting or approving responses before generating reports - excludes data from a user or team's editor submissions and reviewer approvals.

  • Forgetting to mark projects as completed - excludes the project from completed metrics.

  • Not approving responses after reviewing them - adds latency to the average turnaround statistic.
