Article Summary
Use the Reviews & Tasks tab in Content Management to work through content that needs attention. You can suggested changes, flags, scheduled reviews, and more. Switch between My Tasks, Awaiting Others, and All Tasks, filter by task type, sort your queue, and hand work off with Assign to without changing the content Owner.

Step-by-Step Instructions
Open Reviews & Tasks
1. Go to the Content Management page.
2. Open the Reviews & Tasks tab at the top of the page.
Choose a List
The options on the left are lists (views), not filters. Clearing filters does not clear the list you selected.
My Tasks | Items that need your attention right now. For example, work assigned to you, suggestions ready for you as Owner or Moderator, and scheduled reviews that are overdue or due within 14 days. |
Awaiting Others | Items in folders you moderate that are currently with someone else and will come back to you. This list is only visible if you moderate at least one folder. |
All Tasks | Everything in a review or task state that is visible to you across the organisation, whether or not it is yours to action. |
Filter by Task Type and Sort
1. Under the active list, use the task type filters (for example flags, suggested changes, and expiry or scheduled reviews). Only the task types present in that list are shown.
2. Your task type selection carries across when you switch lists.
3. Use the sort control to order the queue. The default sort is Task Age (oldest first). Sort by Usage to prioritise the most important content.
Work a Task
Open a content card from your list. Available actions depend on the task type. Some actions will only be available to users with the content moderator role.
Suggest changes — edit the content
Approve — add or apply the suggestion to the library.
Edit — refine the suggestion, then approve.
Reject — close the suggestion without changing existing library content.
Flags
Review the flag reason, then update, approve, archive, or hand the item off as needed.
‼️Important: Flagged content is not available for AI retrieval until the flag is resolved.
Scheduled or expiry reviews
Complete the review by updating the content and/or the review schedule. Scheduled reviews go to the Owner, even when the folder has Moderators.
📝 Note: Approving a change does not steal ownership. The Owner stays the Owner.
For Admins: Moderators on Folders
Admins can set Moderators on a library folder in Permissions (the same dialog that controls Restrict Access):
No moderator — content managers add and edit directly (no review step).
Moderator set — Moderators can add and edit directly. Everyone else creates a suggestion for moderator review before it enters the library.
You can add individual users or teams, and a folder can have more than one moderator. Admins are not automatically treated as moderators of every folder.
For Moderators: Hand Work Over with Assign to
1. On the content card, open Assign to (or the assignee / avatar control).
2. Select who should handle the item next.
Assign to moves the item onto someone else's task list. It does not change the Owner, and it does not complete the review by itself.
Moderators can forward an item to an Owner or SME for subject-matter input (you may also see a Forward to … shortcut on moderator task cards).
The Owner or SME can assign it back when the response is ready.
Either person can assign it to another appropriate collaborator. There are no routing preferences to configure.
Content Tasks on Your Dashboard
On the task-driven Dashboard, content work can appear alongside project work:
A count of outstanding content items
A content card broken down by task type — click it to open the full task list
Groups labelled Content Tasks and Project Tasks
The Content Tasks group only appears if you have content tasks assigned to you.
💡Tips & Best Practices
Start in My Tasks each day; use the Content nav badge as a shortcut.
Use task-type filters to clear flags first when something is blocking AI retrieval.
Sort by Usage when you need to protect high-traffic answers.
Use Assign to or Forward to … for SME handoff instead of changing ownership.
Check History on a content item for the audit trail (suggestions, rejects, moderator or owner changes, handoffs, flags, and completed reviews).
✋🏼 Common Mistakes to Avoid
Treating Assign to as a change of Owner — ownership stays put.
Ignoring Awaiting Others when you are a moderator (work may be waiting with an SME).
Approving project-specific suggestions that should not become general library answers.
Leaving flags unresolved (flagged content stays out of AI retrieval).
