Overview
The Project Editor is your workspace for refining AutoRFP.ai-generated drafts and working on your Projects. It offers a user-friendly interface for tweaking responses and teaming up with colleagues to finalize your responses.
Any changes you make are automatically saved, safeguarding your modifications from being lost. Changes are also updated in real-time so your colleagues can see what you're working on as you type.
Filtering Views
Use filters to narrow down your view of a project, hone in on specific sections, assigned responses, or your tasks. This is a good way to filter, and then bulk assign responses to team members if you are the project owner.
My Tasks: Use the "My tasks" button to instantly filter down the view to only responses which you are the assigned Editor.
Files: If there are multiple files within the project, filter to see only requirements from a specific file.
βSection/Subsection(s): If you have highlighted sections/subsections during the selections process when creating your project you can filter down to see specific section(s) or subsection(s).
βSearch: Use the search to search keywords, or @mentions within the project.
Compliance: Filter by compliance levels (For example: "No" to see all the responses which you are not compliant to). Note this will do nothing if there are no compliance selections in the project.
Status: Filter by response status (Draft, Pending, Approved). This is a good way to quickly see all outstanding or approved answers.
Use the "Clear" button on the right side of the screen to remove any applied filters.
Collaboration
Assign roles on the right-hand side of every requirement in the Project Editor. One or more editors (blue) and reviewers (green) can be appointed for each question.
Note: You can approve a response immediately if you are both the editor and the reviewer.
Assign a different editor by clicking on the current editor's name.
Click on any user or team to replace the current assignee with the clicked user or team, or click the "Add to Selection" button to individually pick additional users to assign.
If a new editor is appointed, they'll receive an email notification along with a link leading directly to the assigned requirements in the editor.
Assigning a reviewer follows the same procedure. Once the "Submit" button is clicked, an email notification is sent to the designated reviewer.
Users already involved in the Project will be displayed first, followed by the rest of your team.
In the search box, you can search by both Name and Job Title.
Submit, Approve, Request Changes to Responses
Use these tools in the Project Editor to send responses back and forth and indicate completion of work on an ongoing project.
Submit: Click submit once you as the editor have completed a response. Once you have submitted all your responses the Reviewer will be notified.
Approve: As the reviewer you can "Approve" an answer. This will lock that answer (no edits can be made, unless you un-approve that answer) and the system will log that response to your content library. You can use the dropdown arrow to "Approve and Archive" which will approve the answer but not save it to your content library (in the case of unique or project specific responses that you may not want to use again).
βRequest Changes: Reviewers can use the "Request Changes" button to @mention the Editor directly and request that a response be modified.
Please see our article on Notifications for further details on the notifications you will receive during this workflow.
Real-Time Updates
If other people are working on the response simultaneously, you'll see updates come through as they happen and can see if someone else is working on a response, as it will be disabled and have a small icon indicating the user is editing it.
Discussions
Next to the reviewer's assignment, you'll find a chat icon. Clicking on this allows you to leave a comment on the response. You can also tag your colleagues on the response, who will receive an email notification with your comment.
Editing Responses
Click on a response to make edits from the main view
Next to the reviewer's assignment, you'll also find a pencil icon. Clicking on this gives you access to a range of advanced editing options and displays the sources that AutoRFP.ai used to draft the initial response.
See our help guide on the Response Editor for best practices on bringing your responses to the next level.
