Response Editor
Within the Project Editor, next to each response, you’ll see a pencil icon next to the assigned users.
Click this icon to open up the response editor, where you can access the suite of tools, AI prompts, and content from your library to craft high end responses. In the main view of the response editor you will see the drafted response, your editing tools, and any relevant content that has been identified by the response engine.
Navigation Tips: Use the left and right arrows in the bottom corner of the response to move on to the next or previous response. Use the enclosed right arrow to jump to the last response. Use the downward arrow to expand and collapse the response screen. This is useful when you want to review a longer response.
Searching Content from Source Material
The system will display the content used to answer your question in the bottom half of your view. Use the "Add" and "Use" buttons at the bottom right of a snippet to include it in your answer. Use the search and filter functions to find content from other sources and any previous project. The search bar at the top of the results is a “Smart Search,” which allows you to search with both a classical Keyword Search and an AI Search.
Adding Content and Modifying Responses
There are several actions you can take when interacting with content snippets in the response editor.
Add to Response: Adds the selected snippet to the end of your current response. Use the writing actions to then reformulate the formal response.
Use as a Response:Use the selected content as your response. This is great for if you have a previous response you want to use verbatim to respond to the current requirement.
Flag Content: This will remove the response from circulation and send them to the relevant users for review based on the team that owns that type of content (e.g. Security Responses may be sent to your Security Team).
Archive Content: Moves the response to the Archive area in Content Management, removing it from use.
Custom Instructions
Use customized prompts to tailor a response.
Example
Original Response: "Our CRM is packed with cool stuff like task management, shared calendars, and yeah, it's super secure with 2FA and E2E Encryption. You can even personalize your dashboard!"
Instruction: "Please describe your CRM system, but focus only on its security features and use a formal tone."
Instructions Applied Response: "Our CRM system places significant emphasis on security, incorporating advanced features such as two-factor authentication and end-to-end encryption to safeguard user data."
AI Draft or Improve Response
If the response is blank you will see an "AI Draft" button. If a response is generated you will see an "Improve" button at the bottom left of the response section.
AI Draft: The "AI Draft" button generates an initial draft for requirements the system doesn’t have enough information from your past responses to answer. You can think of this as what would be produced if you asked ChatGPT to respond to a requirement.
Result: A generic answer requiring editing to be accurate to your company's circumstances. However, it may provide a good starting point to help structure your response and identify what questions to ask the relevant subject matter experts.
Example
Requirement: "Describe the user interface of your product."
Generic Answer: "Our product boasts a user-friendly interface, complete with intuitive navigation, vibrant graphics, and easily accessible tools and features."
Improve: Using the improve button will prompt the system to reformat and reword the existing response. Using the improve function in combination with some specific prompting will give you best results.
Writing Actions
Use the AI response engine to help enhance, articulate, and format your responses. The writing actions gives you a shortlist of instructions for the engine edit your response.
Shorten: Reduces the length of the original response by removing unnecessary details and words.
Example
Original Response: Our CRM solution has been designed with a comprehensive contact management system that allows users to categorize and segregate contacts based on their nature, whether they're residents, businesses, or government agencies. Each category has specific fields and tags tailored for the nuances of each stakeholder type, ensuring a streamlined experience.
Shorten Response: Our CRM categorizes contacts as residents, businesses, or government agencies, with tailored fields for each type, ensuring streamlined management.
Spelling & Grammar: Corrects errors related to grammar, spelling, and punctuation in the original response, while retaining its essence and content.
Example
Original Response: "Our produt offers a range of fuctions like task managment, file shairing and more, making youre workday simpler."
Grammar & Spelling Corrected Response: "Our product offers a range of functions like task management, file sharing, and more, making your workday simpler."
Simplify: A version that retains the main ideas of the original but presents them in simpler terms, language, or structure. This might involve breaking down jargon, using simpler synonyms, or even presenting the content in a more straightforward manner.
Example
Original Response: "The CRM solution we offer encompasses a sophisticated case management module that enables tracking of every case from initiation to resolution, delegating responsibilities among teams, and methodically addressing community concerns and grievances."
Simplified Response: Our CRM helps track cases from start to finish, assigns them to teams, and addresses community issues.
Improve: Improves the readability and natural progression of the original content by restructuring sentences or rearranging elements for a smoother read.
Example
Original Response: "With our CRM system, you get a contact management system that's designed with comprehensive features, and you can categorize and segregate contacts based on their nature. You can also document notes, and manage tasks and utilize shared calendars."
Flow Improved Response: "Our CRM system is designed to simplify your workflow. It features a comprehensive contact management system where you can categorize contacts based on their nature. Additionally, it allows you to document notes, manage tasks, and utilize shared calendars for better team coordination."
Generic Answer: This is the same concept as using the "Draft" button, asking the system to give you an outline or best guess at an answer.
Approving Changes
After using the response editor tools, the system will present you with a proposed version of the response.
If you are happy with the proposed new response, click accept to replace the old one. Note that this is not an action you can undo (you can do further editing/prompting on the new answer). If you are not satisfied with the proposed response, click decline and you can modify your prompts to regenerate another answer.
Once you are happy with the response, move on to your next one and continue working on your project!
